Position: Senior Office Assistant
Position location: Islamorada, Florida (FL)
Position Overview

We are seeking a dedicated and highly organized Sr Office Assistant to join our team at the Florida Sea Base. In this role, you will be responsible for providing office support to ensure efficient operations of the organization ensuring that all administrative tasks are executed efficiently and effectively. As a Sr Office Assistant, you will perform any or all the following duties: typing, filing, data entry, reception, copying, mail distribution, inventory control, customer service, or records management. You will interact with customers, internal and/or external, to supply information and provide general administrative support that may include responding to calls for facility repair, the purchase of office supplies (including stationery, business cards, and name plates), handling special mail requests, printing services, petty cash account, and facility security functions. This role may also assist with fixed asset inventories.  The Senior Office Assistant reports to the Supervisor of Program Registration.

 

Responsibilities

  • Greets visitors and answers phones. Schedules meetings, travel, and equipment maintenance, and provides data entry support. Interacts with internal and external customers, management, and vendors to supply information and answer questions.
  • Handles inventories, records, databases, and vendor and contract files. Processes expense reports, invoices, and accounting requests, and maintains budget records. Oversees maintenance of office supplies, equipment, and processes. Supervises mailings and distributions.
  • Provides research and assists on special projects and assignments. Serves as backup to other office support.
  • Performs other job-related duties as assigned.
Competencies
  • Knowledge of:  Filing systems, data entry techniques, mailroom procedures, and inventory control methods; Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software programs; accounts payable and receivable, expense reports, and budgeting processes; relevant regulations related to record keeping, privacy, and data security.
  • Skill in: Clearly and concisely communicating with colleagues, clients, and vendors both verbally and in writing; prioritizing tasks, managing multiple deadlines, and maintaining an organized workspace; interacting with a diverse group of people in a professional, courteous, and helpful manner; use of office equipment like printers, copiers, scanners, and fax machines; identifying and resolving issues independently and proposing solutions.
  • Ability to: Take initiative while also collaborating effectively with others; adopt new software, procedures, and regulations efficiently; manage multiple tasks simultaneously and prioritize them based on importance and deadlines; handle confidential information appropriately and conduct oneself in a professional manner in all situations.
Education
  • High School Diploma or GED equivalency.
Qualifications
  • Minimum of 4 years of experience in ­­­­­an administrative or office support role.
  • Must pass a criminal history background check.
