Position Overview
We are seeking a detail-oriented and dedicated Accounting Associate and Office Manager to join our dynamic team. You will be responsible for providing essential support in various accounting and customer service functions. Your primary responsibilities will be maintaining accurate financial records by managing the full accounting cycle, managing the membership registration process within the local council, providing customer service, and managing the Scout Shop and inventory.
Responsibilities
- Manage the full accounting cycle and maintain accurate financial records according to Generally Accepted Accounting Principles (GAAP) and within Financial Accounting Standards Board (FASB) guidelines.
- Administer accounts payable, cost accounting, accounts receivable, and other accounting functions. Prepare and input invoices and manage payments. Post ledger and general journal entries.
- Complete monthly closing. Reconcile bank accounts and balance general or subsidiary ledger accounts. Prepare periodic reports for council leadership.
- Use office automated systems to input data, generate reports, conduct special research projects, and respond to inquiries.
- Work with outside auditors and advisors to gather reports and financial data. Prepare special reports and data as needed for tax returns or other required reporting.
- Assist in preparing and maintaining budgets. Input budget data into financial accounting software.
- Receive and review membership applications from individuals and units, ensuring all required information is complete and accurate. Collect registration fees and properly record payments.
- Ensure applicants meet the requirements for membership, including age and character standards. Input member information into the council’s database system, maintaining accurate and up-to-date records.
- Coordinate with appropriate authorities to conduct required background checks for adult volunteers.
- Generate reports on membership numbers, demographics, and other relevant data for council leadership.
- Provide customer service by answering phones, responding to inquiries from potential and current members regarding registration procedures and membership status, printing and mailing correspondence, processing letters and awards, and verifying Eagle applications.
- Manage local Scout Shop, including interfacing with customers, managing inventory, and balancing the cash drawer daily.
- Ensure compliance with all regulatory requirements and adhere to all Boy Scouts of America policies and guidelines related to membership registration.
- Other duties as assigned.
Qualifications
- An accounting degree or work experience in an accounting role is strongly recommended.
- Strong administrative and organizational skills to manage large volumes of data and applications.
- Attention to detail to ensure accuracy in recordkeeping.
- Proficiency with computer systems and database management.
- Excellent communication skills to interact with members, unit leaders, and other stakeholders.
- Understanding of Boy Scouts of America policies and procedures.
- Ability to work independently and meet deadlines.
