Position: Administrative Assistant - Philmont
Position location: Cimarron, New Mexico (NM)
Position Overview

Philmont Scout Ranch is seeking an enthusiastic and dedicated individual to serve as Payroll Specialist. The ideal candidate will have a strong background in data/office management, customer service, and staff support to ensure a positive experience for all incoming and current seasonal employees.

Job Overview:

Oversees the accurate, timely, and efficient delivery of payroll to seasonal staff at Philmont Scout Ranch. This entails the review of digital onboarding documentation from seasonal staff (including personal and confidential information), data entry of relevant payroll details, and direct coordination with the national BSA payroll and human resource offices while responding to inquiries and providing internal customer service to seasonal staff.

Responsibilities
  • Process and collect data from Terms of Employment, Direct Deposit, and W-4 forms from incoming seasonal employees to enter appropriate data into Peoplesoft HR for payroll processing
  • Review and reconcile payroll reports from the Philmont Gateway’s staff management pages, Peoplesoft HR, and the BSA Payroll office to ensure accuracy
  • Make updates or changes to deductions, start/end dates, salary levels, addresses, payment methods, or other details based upon the request of employees, hiring managers, or management
  • Respond to inquiries or provide updates to current or past staff related to payroll, W-2 access, deductions, or general employment questions
  • Assist with the review and verification of onboarding documentation utilizing the Philmont Gateway’s application system and WorkBright onboarding software
  • Assist with the processing of BSA membership applications and background checks, including the review of results
  • Act as a liaison between Philmont’s Seasonal Personnel Office and the national BSA Payroll, Benefits, and Human Resources offices
  • Assist with the check-in and check-out of seasonal employees and volunteers
  • Operate a variety of office equipment
  • Provide support on special projects and assignments
  • Be a quality team player that is concerned with helping all of Philmont Scout Ranch be successful
  • Other job-related duties as assigned
Education

High School Diploma or GED equivalency.

Preferred: Associate’s Degree or Bachelor’s Degree in business administration or related field.

Qualifications
  • A minimum of three years’ experience working in a busy, demanding office setting
  • Must be proficient in Microsoft Office 365 (e. Excel, PowerPoint, Outlook, Word)
  • Payroll and/or data entry experience
  • Must be able to communicate with positive customer service with all levels of the organization both internally and externally
  • Must be able to effectively communicate complex concepts in person and via telephone/videoconference and work daily in an office environment
  • Great attention to detail, highly organized with multi-tasking skills
  • Must be or be willing to become a registered member of the Boy Scouts of America
  • Must complete a criminal background check with satisfactory results to the Boy Scouts of America

Adams has also received multiple service awards from the Texas Alliance of Energy Producers.
