Budget Worksheet
While the fees for Philmont programs are very reasonable, there are many
other factors to consider, such as training and promotion, travelling to
Philmont, side trips and tours, and other costs that may be incurred. This
worksheet should be helpful in planning for these expenses.

The budget worksheet will help you account for the following expenses:
- PHILMONT FEE
- The Philmont fee covers meals, tents, cooking gear, program resources,
camper's insurance, leader's kits, medical care, chaplain service, use
of horses and burros, Philmont patch, etc.
- TRANSPORTATION
- Include all costs to transport the crew to and from Philmont. Be sure
to check insurance coverage on packs and gear in transit. In addition
to transporting the crew, be sure to budget for materials that will be
shipped to Philmont.
- MEALS AND LODGING
- Be sure to budget for all meals and lodging en route to Philmont. (The
cost of meals and lodging at Philmont is covered by the Philmont Fee,
above.) Include gratuities and occasional "treats" along the way. Note:
Using facilities at military bases or council facilities may help reduce
this expense. Contact Air Force and Army liaison officers and local
council offices for additional information.
- TRAINING
- Weekend training events in preparation for your Philmont expedition
may entail additional expenses for meals and other incidental costs.
- PROMOTION
- Include costs for promoting the expedition, including production of
brochures and other materials, postage, meeting expenses, and
novelty items such as hats or T-shirts.
- EQUIPMENT
- Philmont expeditions may require your crew to purchase or rent
equipment/supplies. In particular, crews are required to bring
backpacking stoves.
- SIDE TRIPS AND TOURS
- Crews may wish to participate in side trips and tours of
attractions en route to Philmont.
- CONTINGENCY FUND
- Important: Provide an allowance for unexpected expenditures that
may be incurred during the trip, such as emergency transportation
and roadside repairs. This fund can be carried forward to the
following year if unused.
- PHILMONT SCHOLARSHIP
- Your local council service center may be able to provide financial
assistance for your Philmont excursion.
